The Challenge

A COVID-19 capacity mandate made the originally contracted city unworkable, with less than 90 days to go. A 900-person annual meeting, including multiple off-site and on-site events, six tours, shopping shuttles, and VIP airport transfers, needed to be reproposed, replanned, and fully executed from scratch. In under three months. After a year of quarantine, the goal wasn’t just logistics — it was creating an experience that made people feel genuinely together again.

The Approach

We treated 90 days as if it were all the time we needed. Knowing this wasn’t just a reschedule but a reunion after a year of isolation, we built three distinct nights, each with its own personality: an Oktoberfest welcome at Gilley’s, an Omni lawn event with glowing décor and a liquid nitrogen ice cream bar, and an AT&T Stadium finale with the Cowboys drumline and a surprise appearance from Emmitt Smith. Daytime brought six tour options, shopping shuttles, and VIP transfers, all coordinated across multiple venues. Local relationships and a deep bench of trusted vendors meant nothing felt rushed, even when everything was.

The Outcome

We delivered it. On time, on target, beyond expectations. The program was awarded Best Overall Program by Association of Destination Management Executives International and Best Meeting/Conference over $500K by the Texas Star Awards.
